tspoonFast: create and manage your inventories from your phone or tablet

In this article you’ll learn how to create a new inventory in tspoonFast, count your ingredients filtering by location and family, record quantities by dictating them by voice, and lock the inventory when you want to stop it being edited later.

Inventories in tspoonFast compare each ingredient’s theoretical quantity with the real quantity you count physically in the store, to detect deviations and keep your cost control up to date.

Step by step to create and manage inventories in tspoonFast

Follow these steps to create an inventory, count it by location, family or voice, and lock it when you want to close its editing.

Create a new inventory

Before counting, you need to create the inventory by specifying the closing date and the store to count.

Go to "Inventories".
Tap the "+" icon in the top-right corner to create a new inventory.
Select the date type: "Month Close", "Date" or "Now". In the first two cases you can choose the exact day and time of the inventory; in the last one, it will default to the exact time and day the inventory is created.
Select the store you’re going to inventory (for example, Kitchen, Recipes, Cleaning, Packaging or Dining Room). Then tap "Create".

Count the ingredients in the inventory

Inside the inventory you can filter ingredients and record the real quantity of each one, with or without the format calculator.

Open the inventory from the list. You’ll see the total number of "Components" (all the ingredients that need to be counted in that store) and the "Total Cost", which starts at €0.00.
Filter by "Location" (of stores) or "Family" (of ingredients) to narrow down the ingredients list.
Tap the "Real" field under each ingredient and enter the quantity you’ve counted physically.
If the ingredient is bought in several formats (for example drums or jerrycans), tap the calculator icon next to the field to add up the units of each format; tspoonFast adds the total and carries it over to the Real field.

📢 Important: You don’t need to press any button to save each quantity counted: when you go back, tspoonFast automatically saves all the quantities entered.

📌 Note: The date type you choose when creating the inventory determines how you’ll be able to pull your results in tspoonlab’s reports. Use "Month Close" if you want to filter reports by month; with "Date" or "Now" you’ll need to filter by the exact dates on which the opening and closing inventories were taken.

Count the ingredients in the inventory by voice

You can also record the real quantities by dictating the ingredient and the quantity out loud, instead of typing them one by one.

Tap "Record" at the bottom of the screen.
Say the ingredient’s name and the quantity out loud, one after the other (for example, "Chilli Oil, 5 litres").
Tap "Stop" when you finish dictating.
The "Recognised Changes" list opens, with the ingredient, the current quantity, the suggested new quantity and the unit.
Check the list: if an ingredient was recognised incorrectly, edit it or use the bin icon to delete that line.
Tap "Apply X Change(s)" to carry the dictated quantities over to the inventory, or "Delete All" to discard everything recorded without applying anything.

📌 Note: Say the ingredient and the quantity one after the other for each ingredient you want to log; tspoonFast recognises both by voice and groups them in the changes list before applying them.

Count the ingredients in the inventory by scanning

If you printed QR-code labels when receiving your purchases, you can count ingredients by scanning those labels instead of searching for them in the list.

Tap "Scan" at the bottom of the screen.
Point the camera at the QR code on the ingredient’s label. tspoonFast will read it automatically.
Repeat the scan with each physical label until you’ve counted all the units of the ingredient.

Lock the inventory

Locking an inventory is an action separate from saving the changes: you don’t need to lock it to finish counting, it’s only there to stop the inventory being edited or deleted later.

When you want to stop the inventory being modified further, tap "Lock" at the bottom of the screen.
The "Inventory Locked" confirmation will appear.

📢 Important: The quantities entered are saved automatically when you go back or close. The Total Cost is calculated from the quantities loaded up to that point.

📢 Important: Locking is a separate action from closing the editing: once locked, the inventory can’t be modified unless a user with permission to unlock inventories authorises it.
