Close a whole period in tspoonlab to lock purchases, sales, inventories, stores, transfers and waste for that date range at once.

What is the difference between locking by area and closing a period in tspoonlab?

Besides being able to lock areas and functions individually or in bulk by section, tspoonlab lets you go a step further: closing a whole period.

Closing a period has two major benefits:

  • Full period protection: When you close a date, everything related to that period (purchases, sales, inventories, stores, transfers, and waste) is locked automatically, without the need to go section by section.

  • Centralized management: When managing several cost centers, you only have to close the period on your Master account. The system will close the rest automatically to guarantee that everything reconciles perfectly.

What does closing a period lock?

Unlike manual locking by area, closing a period affects everything that happened within that date range, with no exceptions:

  • Purchases: prevents any retroactive change to orders and delivery notes dated within the closed period.

  • Sales: prevents changes to the sales recorded in the period.

  • Inventories: fully locks any operation on the period’s inventories. Control is now total: whereas before certain specific operations on inventory products were allowed, with a closed period no action can be taken on inventories.

  • Stores: locks any movement or adjustment on the stores for the period.

  • Transfers: prevents transfers between cost centers dated within the closed period.

  • Waste: prevents recording or modifying waste within the closed period.

šŸ“¢ Attention: The only case still outside this total control is linking or unlinking historical sales, as well as some actions directly on already-linked sales from closed periods. All other operations are completely locked once the period is closed.

Step-by-step to close a period in tspoonlab

How to close a period?

  1. Go to the top-right bar of the main screen and click the "Options" button. In the dropdown menu that opens, find the closing date section

  2. Set the period and the year you want to close and confirm the action.

  3. If you work with several cost centers and close the period from the cost center marked as master, the closure will apply automatically to the rest of the linked cost centers. You don’t need to repeat the action on each one.

How to confirm the closure status?

  1. Once applied, the closing date is shown with an icon next to the affected records, so the user can identify at a glance what can no longer be modified.

  2. From that moment, no standard user can create, edit or delete purchase, sales, inventory, store, transfer or waste movements dated on or before the closing date. Only profiles with special editing permissions can reverse the closure if necessary.

šŸ’” Tip: Close the period right after validating your inventory and your month-end costs. That way you make sure no later change, by you or your team, alters your already-closed Food Cost reports.

šŸ“¢ Attention: If a user reports they can’t modify an inventory, a store or any other document and they see the closing-date icon, check that the document’s date is not on or before the period’s closing date. If an adjustment is needed, an admin user must go to the same menu to modify or reverse the closure.
