How to record traceability when receiving goods?
The operational loop of traceability control begins when you receive goods in tspoonlab, in the purchases module. Every time a supplier delivers goods, the products come into your business with information that is critical for traceability: the batch number. You can learn to receive delivery notes in our purchases articles: Receive delivery notes with OCR š§¾ and Receive delivery notes with AI š¦ . When you finish receiving a delivery note, the products received take the delivery-note date as their batch number, in year.month.day format. tspoonlab automates batch assignment using the delivery-note date (year.month.day) to avoid control gaps when the supplier does not provide the data.
š Note: If you donāt want the system to assign the reception date as the default batch number and would rather always record the batch numbers provided by the supplier, contact our technical team by opening a formal request through the built-in Support Chat in the bottom-right corner of your screen.
You can also generate labels with QR codes for batches and expiry for each incoming product; that way, when you use it, you can scan the code and select exactly the batch needed. Check the article Label your products with a QR code.
