Learn how to confirm order arrivals, adjust received quantities and photograph paper delivery notes with your device’s camera.

tspoonFast: manage delivery-note reception from a phone or tablet

The tspoonFast app’s "Reception" button lets you accept your purchase orders, whether or not you scan delivery notes, to give final entry to goods in your stores. You can do this with pending orders generated from the app, or with orders that were sent outside the system.

📱 Important: Before you start receiving delivery notes in tspoonFast, you need your suppliers up to date, with all their supplier items correctly associated. See Associate items from suppliers to learn how.

Step by step to scan and receive delivery notes from tspoonFast

How do you scan a delivery note?

Follow this step by step to scan a delivery note that isn’t associated with a purchase order or pending order.

  1. Go to "Reception".

  2. Click the green scan button.

  3. Capture an image of the delivery note using the camera button. Use the green crop to crop the image, try to stay far enough away for the delivery note to be seen correctly, and keep the lines as straight as possible. If there isn’t enough light, you can add flash by clicking "light". If the delivery note has two pages, tap the camera button again after turning the page. Then click "Done". The number above the "Done" button shows how many images are associated with the pending order.

  4. You can edit the image if you think it doesn’t look bright enough or the crop isn’t right. Then click "Done" to upload the image.

  5. Your purchase, now "Paused", is now ready to receive.

How do you scan a delivery note to a pending order?

Follow this step by step to scan a delivery note associated with a purchase order or pending order.

  1. Go to "Reception".

  2. Select the pending order to receive.

  3. Click the scan button, or "Scan", to associate the delivery note with the pending order.

  4. Capture an image of the delivery note using the camera button. Use the green crop to crop the image, try to stay far enough away for the delivery note to be seen correctly, and keep the lines as straight as possible. If there isn’t enough light, you can add flash by clicking "light". If the delivery note has two pages, tap the camera button again after turning the page. Then click "Done". The number above the "Done" button shows how many images are associated with the pending order.

  5. You can edit the image if you think it doesn’t look bright enough or the crop isn’t right. Then click "Done" to upload the image.

  6. Your purchase, now "Paused", is now ready to receive.

How do you receive a purchase in tspoonFast?

Once you’ve scanned your delivery note, whether from a pending purchase or not, follow this step by step to receive the purchase for good and give entry to your ingredients in your stores. The purchase will stop being in the "Paused" state and become "Received".

  1. Once the scanned document is processed, the system will assign the delivery-note number, reception date, supplier items, quantity and amount it reads from this document. You can change the delivery-note number and reception date if there are any reading errors. Then click "Mark All" to select the ingredients that have been received.

  2. Correct any quantity or amount that needs correcting. If you have the "Store Required" or "Analysis Account Required" setting on, you’ll need to add the corresponding one by clicking "Store" or "Analysis Account".

  3. The last key point is to change the VAT if it isn’t correct. To do this, click the VAT section of each ingredient and change it if needed.

  4. Once you’ve selected all the items and corrected the delivery-note number, reception date, quantities, amounts and VAT if there were reading errors, confirm that the base amount and the tax amount match those on the delivery note. This point is key to checking you’ve received the purchase correctly. If it matches, click "Receive".

  5. Your "Pending to Receive" order is now a "Received" purchase. You can click the grey arrow button to see purchases already "Received", or go back to "Pending to Receive" purchases with the same button, which will now be blue.
