Learn how to generate and send purchase orders by ingredient, template or supplier using the Purchases module in tspoonFast.

tspoonFast: manage purchases from a phone or tablet

The tspoonFast app’s "Purchases" button gives you three ways to place your orders or purchase orders:

  • By supplier.

  • By templates.

  • By ingredients.

To place orders from the app, you’ll need your suppliers set up with their supplier items already associated. You can see how to do this in Associate items from suppliers.

If you want to place orders from purchase templates, these need to be generated from tspoonBack.

What are "voice" orders?

The tspoonFast app offers a very useful option for on-site operations: AI-powered voice orders. You can record an audio note with the ingredients you need and their quantities. The AI will interpret your voice to give you back, after analysing it, an order ready to confirm and send. This option is available both in orders by Supplier and in orders by Templates.


Step by step to generate purchase orders by ingredient from tspoonFast

Follow this step by step to generate a purchase order by ingredient.

  1. Go to "Purchases".

  2. Select the "Ingredients" button.

  3. Select the ingredient or ingredients you want to add to your purchase order.

  4. Add "Quantity", "Delivery Date" and "Comments".

  5. If you have more than one supplier, you can select the one you want by tapping the dropdown arrow.

  6. Click "Order Ingredient".

  7. The purchase order is ready to be sent from Pending Orders.

Step by step to generate purchase orders by supplier from tspoonFast

Follow this step by step to generate a purchase order by supplier.

  1. Go to "Purchases".

  2. Select the "Suppliers" button.

  3. Select the supplier you want to add to your purchase order.

  4. Here you can see the list of your supplier’s items. Click "+" on each ingredient you want to add. Each click on "+" is one more unit of the supplier item’s format. Example: 2 clicks on "+" are 2 packs of 24-bottle Coca-Cola.

  5. Here you can also select the "Reception Date" and the "Responsible Person".

  6. You can select the "Record" button to place orders by voice. Using an audio note, you’ll tell the AI which ingredients you want to add and how many units.

  7. If the AI doesn’t understand an item, it will show it in red. Click the red ingredient to tell it which item it didn’t interpret correctly.

  8. Select the correct item.

  9. Once the reading is corrected, click "Apply Changes".

  10. Click "Create" to generate the purchase order or pending order.

  11. The purchase order is ready to be sent from pending orders.

Step by step to generate purchase orders by templates from tspoonFast

Follow this step by step to generate a purchase order by purchase template.

  1. Go to "Purchases".

  2. Select the "Templates" button.

  3. Select the template you want to generate your purchase order from.

  4. Here you can see the list of items in your template. Click "+" on each ingredient you want to add. Each click on "+" is one more unit of the item’s format. Example: 2 clicks on "+" are 2 packs of 24-bottle Coca-Cola.

  5. Here you can also select the "Reception Date" and the "Responsible Person".

How do you send orders or purchase orders to your suppliers?

Once orders are generated, whether by "ingredients", "Suppliers" or "Templates", you’ll need to send them to your suppliers. Follow the step by step to do it correctly:

  1. Go to "Purchases".

  2. Select the "Pending to be sent" button.

  3. Select the order, or the default order, you want to send. In the photo example you can see how each type of order is shown: C0000 - Coca Cola is an order by supplier with no default order. "Semana 1 al 6 septiembre" - is a default order with one pending order by supplier.

  4. Confirm that the items and their quantities are correct, or correct anything you need to. You can add items by tapping the "Add Item" button.

  5. Finally, click "Send"; you can choose to send by email or WhatsApp. You can also copy the order to send it another way.

  6. Your orders will now sit as pending to receive in the "Receive" menu.

💡 Tip: We recommend always using default orders with weekly or monthly structures to better organise your purchases.
