How to control store traceability in tspoonlab?

To control store traceability in tspoonlab day to day, the software processes the movement, relocation and counting of products, linking stock changes to a batch number under two ways of working:

  • Default mode (latest-batch suggestion): the quick, interactive system active by default. The software automatically suggests the last batch purchased or produced for each movement. However, the operator can always open the selection screen and change it manually to any other available batch in the history.

  • FEFO mode (First-Expired, First-Out): a strict food-safety control system. With this mode active, the software requires you to select or scan the exact batch number on every stock movement, ensuring the batches closest to expiry are used first.

What happens to batches if I do an inventory in tspoonlab?

When you do an inventory in tspoonlab, the platform makes an adjustment according to the mode active on your account:

  • Count in default mode: in default mode, doing an inventory does not assign or count quantities to specific batches in the store. The process only adjusts the product’s overall quantity.

  • Count in FEFO mode: with FEFO mode active, you can check and count the exact amount you have of each physical batch. When you tap the barcode icon, the system shows the full list of available batches so you can select which one the counted quantity corresponds to.

  • Scan count in default and FEFO mode: if you generated labels when receiving orders, you can use your mobile device’s camera to scan the QR codes of the labels printed during reception and count stock.

šŸ“Œ Note: If you only need to correct the stock of a specific ingredient without doing a full inventory, you can use "Set quantity" in stores for a quick adjustment. If FEFO mode is enabled, you will also have to record its batch.

How do I transfer a batch in tspoonlab?

When you make a batch transfer between cost centers in tspoonlab, the platform moves the goods information as follows:

  • In default mode: when you make a transfer between cost centers, the system transfers the product quantity but does not carry over or assign individual batches in the destination store.

  • In FEFO mode: the system requires you to indicate the exact batch being sent. On confirmation, the destination center receives the quantity and recovers the batch number and its expiry date.

How do I write off a specific batch as waste in tspoonlab?

To write off a specific batch as waste in tspoonlab, go to the waste module, select the defective ingredient, recipe or dish and link the loss according to the mode active on your account:

  • In default mode: the software automatically captures the last batch purchased or produced, which you can change manually on screen by selecting any batch from the history.

  • In FEFO mode: you must select the exact batch number affected by the loss from the dropdown list.
