Introduction to the production module 🏭

Register production of recipes and dishes from raw materials in tspoonlab, updating stock, costs and traceability automatically.

What is the production module in tspoonlab for?

The tspoonlab production module lets you record the making of recipes and dishes from raw materials, automatically updating stock, costs and the traceability of each production.

Operational benefits of recording your productions:

  • Real store control: the system deducts, in real time, the ingredients actually used in the kitchen instead of sticking strictly to the recipe-costing theory.

  • Traceability and food safety: it generates automatic internal batches.

  • Label management: it generates labels with expiry dates and QR codes for traceability.

Store movements generated when you create productions

When you start recording productions, those recipes and dishes must be set up in a store of the type "With ins, outs and inventories" and not an "Inventory only" one. Otherwise, when a sale is processed, the system will deduct the individual raw ingredients from the recipe costing instead of subtracting the stock of the recipe or dish you previously produced.

  • With productions: when you sell a final dish that contains a recipe (for example, a sauce), the system deducts from the store the amount of the produced item you made earlier. When you recorded the production, the system had already deducted the individual raw materials and fed the produced item’s stock into an ins-and-outs store.

  • Without productions: when you sell the final dish, the system simulates the recipe in real time and deducts the individual raw materials directly from the inventory-only store, according to the recipe costing’s theoretical proportions.

How to create a production directly in tspoonlab

If you want to create and record a production, follow this step-by-step procedure:

  1. Go to the main menu, open "Management" and click the "Production" section.

  2. Find the calendar and set the date on which the recipe or dish will be made in the kitchen. Click the three-dot menu and select "Add production".

  3. Your recipe catalogue opens. Select the recipe or dish you want to produce.

  4. Set the production quantity. By default, the system selects the quantity set in the base recipe costing, but you can change the number manually to suit your needs.

  5. Click "OK" to register the order in your pending-tasks queue.

  6. The production is now created; you must then start it so it is recorded in the system.

How to start, adjust and finish a production

Once the order is created in the day’s production list, you must process its real execution in the kitchen following these steps:

  1. Find the generated order in the list and click the "Start" button. The system automatically records the timestamp (start time).

  2. Confirm or adjust the yields (theoretical vs real): the screen shows two volume columns. On the left is the expected theoretical quantity and on the right the real quantity obtained after packaging.

    • If you change the theoretical quantity, the system recalculates in real time the required proportions of all the raw ingredients.

    • If the quantity obtained differs from the expected one, change the real yield and tspoonlab will automatically adjust the recipe or dish’s cost and stock.

  3. Raw-material adjustment: if during production you used more or less of a raw ingredient (or swapped one for another), edit the value directly on the ingredient line. This change only affects this specific production batch, to deduct inventory correctly — it never alters the base recipe or the general recipe costing.

  4. Ingredient batch assignment: tspoonlab automatically associates the batch numbers of each raw material.

  5. You can add a section, a sub-section and the employee who carried out the production in the production header. You must first create the stations and sub-stations in the "Sections" section and your employee profiles in the "Staff management" section.

  6. The internal batch generated for the production will be the same day’s date and is formatted automatically as Year/Month/Day.

  7. Once the steps are complete, click "Finish". The production closes, the raw-material stock is deducted and the recipe or dish formally enters the stock store.

  8. Once the production is closed, you can print labels to keep the traceability of your finished products.
