What is linking specific sales units for?
Linking specific sales units in tspoonlab optimises your restaurant management by speeding up the setup of your catalogue. First, you save time day to day by avoiding creating a full recipe costing for each individual drink format (such as glasses, shots or draught beers), since you only need to define the specific measure and link it directly to the parent product in your tspoonlab database. Second, by connecting these measures, tspoonlab automatically calculates key metrics such as Food Cost, contribution margin and the ideal theoretical price, updating costs immediately every time you register a supplier purchase.
Link specific sales units to your products
This tutorial video on the linking process visually shows how to associate fractional units with their main product in tspoonlab.
Step-by-step: set up and add the new sales unit in tspoonlab
To set up and add the new sales unit in tspoonlab, you must first register the consumption format before attempting any linking with your sales. Before you start, remember a golden rule: you must correctly set up the conversion of the main generic product (for example, a bottle of alcohol). Your main unit in the system must be the "bottle" (to analyse the purchase cost), but it must have its conversion to litres on its record so it can be sold correctly in smaller formats.
Create a fractional unit (glasses, shots or draught beers)
Follow these steps on the platform:
Go to the tspoonlab settings dropdown menu and click "Units".
Select the three-dot icon next to the search box and choose "Add unit".
In the pop-up window, type the name of your custom measure (for example: Wine Glass).
Leave the default boxes or flags unticked and enter the exact capacity of this consumption portion.
Click "OK" to save the unit permanently in the system.
Find the unlinked POS (Point of Sale) items
Steps to find the unlinked POS items:
Go to the "Management" section in tspoonlabâs main navigation menu.
Enter the block called "Customers".
Select the client for your point of sale and find the section titled "Unlinked products".
In this list youâll see all the sales items registered in your POS but still pending association with a product in the tspoonlab database.
Associate the POS sales item with the main generic product
To associate the POS sales item with the main generic product, weâll use the formats created earlier to link them directly with the real inventory in your stores. Follow these steps:
On the unlinked item you want to link (for example, wine glass), click the three-dot icon and select "Associate with new product".
In the pop-up window, click the unlinked item (marked in red) and "Select product".
Use the search box to find the main generic product in your tspoonlab database.
Select the "Unit" field and choose the specific measure you created earlier.
Select the "Product group" where you want to classify this final product within your menu.
Click "OK" to finish the association. The item will disappear from this tab and move automatically to the "Sale products" section.
đ Note: To ensure fully reliable linking and that Food Cost metrics are calculated correctly, your products or recipes must have a cost assigned in the system.
