How does tspoonlab calculate the price of your products and materials?

The price shown on a product or material record, which feeds directly into your recipe costings (the dishes' bill of materials), can come from two main sources:

Purchase data: the system reads the price from your transactions, delivery notes and goods receipts in real time.
Agreed prices: the system ignores actual purchases and uses only the agreed prices.

The 6 price calculation types

Below is how each of the options available in the system works, and its internal logic.

Last purchase price

With this option, tspoonlab takes the exact cost of the most recent goods receipt. It is the platform's standard, historical method.

Average price of recent purchases

The system calculates a weighted average of prices based strictly on the transactions of the last 30 days, regardless of the age or history of purchases before that period. Example: if a restaurant buys 10 kg of meat at €10.00/kg in the first week and 90 kg at €12.00/kg in the second week within the 30-day window, tspoonlab does not use a simple average (€11.00). The system calculates the real impact of volume: it multiplies each quantity by its price, adds the total costs (€100 + €1,080 = €1,180) and divides them by the 100 kg total, setting the exact weighted average price at €11.80, grouping in this case the purchases from all suppliers that provide that item.

Last purchase price (no supplier)

Works under the same logic as "Last purchase price", but with one restriction: the system takes the value of the last purchase transaction regardless of which supplier provided it.

Average price of recent purchases (no supplier)

Applies the weighted-average calculation, the same one used in the "Average price of recent purchases" method. Example: if a restaurant buys 10 kg of meat at €10.00/kg in the first week and 90 kg at €12.00/kg in the second week within the 30-day window, tspoonlab does not use a simple average (€11.00). The system multiplies each quantity by its price, adds the total costs (€100 + €1,080 = €1,180) and divides them by the 100 kg total, setting the exact weighted average price at €11.80. It applies the weighted average of the last 30 days, but without linking the calculation to a specific supplier.

Suppliers' price

The system sets the cost of the product or material based exclusively on the value defined through price-list imports or direct editing in the "Suppliers" module. Daily purchases do not change this value.

Fixed price

This is the most static method. When enabled, the system completely ignores both actual purchases and supplier price lists. The value stays entirely unchanged until a user with permission edits it manually on the ingredient's record.

📌 Note: "Last purchase price" has a particularity: if a user manually edits a price in the Suppliers module, it will update temporarily on the component. However, the next time that component is edited or processed, tspoonlab will automatically restore the last purchase value.

📌 Note: With the "Suppliers price" method, if a product has several suppliers assigned and none has been explicitly marked as "Preferred", the app will automatically select the first supplier it finds in its database.

Step by step: change the price calculation type individually

To change the price calculation type of an individual item in tspoonlab, go to the "Products" or "Materials" module, depending on what you want to change, by clicking "Offer" and then "Products" or "Materials".
Find and select the product or material you want to edit. Click the three-dot dropdown menu and select "Edit product" or "Edit material".
Locate the "Price calculation" section within the product record, select your preferred method and click "Accept".

Can I change the price calculation type of my products and materials in bulk?

tspoonlab has an automation tool to change the price calculation type in bulk, so all your products and materials share the same calculation type in a couple of clicks.

How to apply the calculation-type change in bulk

To apply a bulk update of calculation types in tspoonlab, go to the "Offer" module and then click "Products" or "Materials".
Select the three-dot dropdown menu above the search bar, and choose the "Change calculation type" option.
A pop-up window opens where you can see the 6 price calculation methods, with the number of products or materials using each method. You can also see whether there are any locked products or materials.
Select the price calculation type you want to change; the "New calculation type" option will appear.
Click the "New calculation type" dropdown menu and select the new type you want for these products or materials.
Click "Accept".
All your products or materials will have their price calculation type changed. If some products or materials were previously protected with a security lock (locked) and you do not have the "Can lock" permission, the calculation type will change for every product or material except the locked one. You will need to ask someone with the permission to change that particular price, since the permission limits editing of those items. If you do have the permission, all types (including locked ones) will change simultaneously.
