Setup and workflow with Holded
Bring your operations and your accounting together by sending purchase and sales invoices to Holded automatically and in a single click. When you connect both tools, the system creates the supplier and client records using the tax ID and links your analysis accounts directly with your chart of accounts so your expenses always reconcile. This gives you real, instant control of your costs, with no paperwork or extra steps.

Step-by-step for the Holded integration
š¢ Attention: Before you start, make sure you have admin access in Holded, the tax IDs of your suppliers and clients correctly filled in in tspoonlab, and your chart of accounts defined in Holded to be able to carry out the integration.
Getting the API Key in Holded
Go to your Holded account.
Go to Settings > More > Developers.
Click the API section and select the "New API Key" button.
Give the key a name (e.g. "tspoonlab connection") and copy the generated token to use it in the next step.
Linking with Holded and configuring taxes
In tspoonlab, open the options dropdown and select "Settings".
Scroll to the bottom of the page to find the Integrations section and tick the Holded box. Paste the token in the API Key field and set the tax types (VAT), withholdings and the mismatch account by clicking the three dots on each field.
Analysis accounts
Open the "Options" dropdown and select "Analysis accounts" from the dropdown.
Select the account you want to link, click the three-dot menu and click "Edit analysis account".
In the "Account in Holded" field, select the equivalent expense account from your chart of accounts to make sure the financial information transfers exactly.
Sending purchase invoices
Open the supplier record of the invoice you want to link with Holded from "Management", "Suppliers"; find the supplier and scroll down the record. Click the "Recent invoices" dropdown and select "Add invoice".
On the invoice, once loaded and associated with delivery notes, click the three-dot menu and select "Send to Holded". The system will identify the supplier by its tax ID; if it does not exist in Holded, a new contact record is created automatically with all its details.
Sending sales invoices
Go to "Management", "Clients", open the client and find the "Recent invoices" section. Reconcile the invoice with the corresponding delivery notes.
Select the closed invoice and, from the three-dot menu, click "Send to Holded".
The invoice will appear immediately in your accounting with the configured breakdown of bases and taxes.
š¢ Attention: Note that the system only lets you send invoices that are not marked as accounted, to avoid duplicates in your accounting. If the integration fails or the tax ID is not recognised, check that the contact record in tspoonlab has the correct tax ID format and that the Analysis account has its expense account assigned in Holded.
