What is a supplier price list and how to use it?
A supplier price list is a document that contains the information you need about the products your suppliers offer, such as codes, descriptions, formats, and prices. In tspoonlab, you can easily import these lists in .xlsx format to keep your items up to date.
With this tool, you can process, add, and link items quickly and accurately, making sure all the information is centralized and current.
How to import price lists?
This video shows you how to import the price lists provided by your suppliers in tspoonlab. Follow the steps in the video or in this article to upload and process the supplier's items efficiently.
Step-by-step guide to importing price lists
Check the file format
Make sure the file provided by the supplier is in .XLSX format and contains at least two of these basic columns:
The supplier's item code
The supplier's item description or name
The format the supplier offers the item in
The price for that format (excluding VAT)
If the file doesn't include the item code or the format, you can still proceed, linking only the available information.
Access the suppliers section
Go to the "Management" section in the main menu.
Select the "Suppliers" sub-section.
Choose the supplier the price list belongs to.
Upload the price list file
Go to the "Price lists" section within the supplier profile. Click the three dots in the matching box and select "Add".
On the screen that opens, select the date for the list.
Upload the document in the field provided. Click "OK" to save the list.
💡 Tip: Add as many price lists as you need, setting them to different dates as appropriate.
Import the items
Find the uploaded list and click the "Import" button next to it.
A window opens showing the uploaded document.
Assign the matching categories to the file columns:
Item code → Code
Description or name → Description
Format → Format / Comment
Price excl. VAT → Price
Additional columns can be left unassigned. Once you've assigned the columns, click the green "Analyze" button above the header.
A window reports the items that aren't on the supplier's list. Click "Add" to bring in the new items.
After processing the list, you'll be notified that the price list has been imported correctly. The items appear in the box called "Other supplier items".
Now you can link the products from the list you'll use: open the three-dot dropdown for each product in the "Other supplier items" box in tspoonlab and click "Associate product". You can find more details in the Link Supplier Items article.
With these steps, you can import your suppliers' price lists in tspoonlab to link items to their products and assign their price.
